If you are interested in making a reservation with us, it is important that you have read and understood all the clauses stated on this page. By signing a travel agreement with us or any of our agents, you automatically accept the booking conditions on your behalf and on behalf of all individuals included in the reservation, regardless of whether they are minors or have disabilities. Your reservation will be accepted and deemed valid only when you receive a confirmation email or an invoice from us. Only upon doing so, contact will be established between the Company and you, and it will be effective from the date indicated in the email or invoice.
From now on, the person or persons whose name is mentioned in the reservation will be referred to as the "client". The terms and conditions outlined below will constitute a binding agreement between the Client and the Company. The services provided to the Client are those specific tours as indicated in the reservation.
The Client must provide a written declaration at the time of booking if there is any medical condition that needs to be mentioned, such as disabilities and pregnancy. Any other physical or mental condition that may affect the Client's level of physical fitness should also be provided in writing. Failure to comply with this may result in rejection, and the Client will not be able to travel. In the event that the trip needs to be canceled entirely, cancellation fees will apply.
Please note that some tours may not be suitable for the Client due to a specific disability, mobility, pregnancy, or any other condition. If the Client has any condition that they believe may pose an obstacle during the tour, they must inform us before making a booking. As an example, the company will not allow women to travel if they are more than 24 weeks pregnant.
The company is not responsible for providing additional facilities unless the Client has obtained a written agreement. However, the company strives to accommodate the Client's needs, although these are not included in the Contract, which implies that the company has no liability for not meeting these needs. In each location within the country, medical facilities may vary, so the company does not guarantee the quality or standard of any medical treatment during the tour.
The company is authorized to increase the price of any package when deemed appropriate without informing or notifying the clients. Changes in fares are assessed considering various factors, such as currency fluctuations, government actions, food costs, transportation costs, fuel costs, airport fees, ticket fees, or any other cost that is beyond the company's control.
If there is an increase in the price of any operational costs, the company may overlook it as long as it is below 4% of the total package cost; otherwise, the client will be required to pay the full difference between the original and new price.
The client's reservation with the company will only be confirmed upon depositing 50% of the total tour price per person and per trip. If the reservation is made with a delay and there are less than 30 days remaining until the departure date, the full amount of the tour must be paid to confirm the booking.
Please note that payments including flight costs, train tickets, or entrance tickets (such as the Inca Trail) must be made in full and in advance to secure the spaces.
If the company accepts your reservation, you will receive a confirmation email and a travel voucher. As mentioned earlier, a contract will be formed between you and the company from the date of issuance of the confirmation and will remain in effect until the completion of the tour. In the event that we receive your reservation with a delay and there are ten days or less until the tour departure date, the contract will commence from the date we accept your payment.
The details of your final payments are mentioned in your confirmation invoice. For advance bookings, the full balance of the trip must be paid when there are at least 30 days remaining until the tour start date. Failure to do so may result in the cancellation of your reservation, unless you have a prior written agreement with your travel advisor. For last-minute bookings where there is limited time until the tour date, the full amount must be paid to confirm the reservation.

For each trip and package, the company requires different details, which will be provided in full at the time of booking. In general, basic information such as the client's full name, passport number, passport expiration date, date of birth, place of birth, and nationality is always required. On occasions, specific documentation with the required details may also need to be provided.
Please note that unless all the required client details are provided, any reservation may be treated as unconfirmed.

If a client wishes to cancel their reserved tour, they must submit a written request. The company will then provide a written confirmation of the cancellation. Cancellation fees apply in all cases, and the exact amount depends on the date of the cancellation request.
If you choose to cancel the trip immediately after making the reservation, you will be refunded 80% of the deposit amount. Not applicable for last-minute bookings (10 days or less).
If you cancel 30 days or more before the departure date, you will be refunded 50% of the deposit. (Not applicable if your reservation includes flights, train tickets, or the Inca Trail).
If you cancel when there are between 30 and 20 days left before the tour departure date, you will be refunded 25% of the trip cost. (Not applicable if your reservation includes flights, train tickets, or the Inca Trail).
If you cancel when there are only 20 days or less until the start of the tour, the deposit amount will not be refunded unless you have a different agreement in writing with your travel advisor.
Not all payments and deposit amounts made for Inca Trail-related trips and flights are refundable, due to the policies of the Inca Trail and airline regulations.
If the trip is postponed for any reason, an administrative fee must be paid. Please check the amount with your travel advisor, in addition to the costs incurred due to subcontracted services. Any remaining amount can be used when the client takes a future tour with the company.
No refunds will be provided if you voluntarily leave the tour once it has started. If you need to end the tour involuntarily, the decision to provide a refund will be entirely at the discretion of the company. If you are unable to utilize offered services such as transportation, accommodation, meals, and sightseeing, no refund will be provided.
While the company always makes every effort to carry out all tours as planned, sometimes it is necessary to change a tour in any of its aspects due to existing local conditions. By accepting this contract, you agree to any changes that may take place.
Depending on the situation, the company has the full right to cancel or modify the services, facilities, or prices it offers for accommodation, flights, and other required arrangements. The company also has the right to replace these services with other suitable options.
The company has the right to cancel a tour entirely if it deems it appropriate due to a natural disaster, terrorism, political situation, or any other external circumstances during which the operation of the tour may be prone to risks.
If the trip has to be canceled due to our fault, you can either make use of an alternative tour or obtain a full refund, except for the 10% deposit.
We will not be responsible for any expenses arising from your vaccines, visas, flights, or any other reasons.
If you wish to change the travel itinerary after receiving our confirmation, you will be required to pay a fee (please consult with your travel advisor). You will also be responsible for any other costs incurred in the process. We will make every effort to accommodate the changes and requests and ensure that everything meets your expectations, but we cannot guarantee them.
Any changes you wish to make to flights or train tickets should be notified to us approximately 45 business days prior to the actual departure date of the trip. Even if you inform us well in advance, there is a possibility that the requested changes may also be declined.
We will not accept modification requests (packages with hotel, flights, and train tickets) when there are 30 days or less remaining until the trip.
For full-day tours or individual excursions, we may accept modifications up to 15 days before the start of the tour (please consult with your travel advisor for possible additional charges).
In case of a change in the original booking, the person to whom the right of reservation has been granted must make the changes.
If there is any member in your group who is unable to attend the trip, the reservation can be transferred to another person if a written request is submitted. This should be done when there are more than 45 days left for the trip (without any additional fee). If you have booked the Inca Trail, no changes will be allowed to the names, dates, or passport numbers once your request has been processed. Please note that the Inca Trail ticket is non-transferable and non-refundable. Therefore, your deposit will not be refunded as we cannot resell your entrance ticket to another customer after it has been canceled.
As a customer, it is entirely your responsibility to have a valid passport, visa permits, and any necessary medications during the tour. We provide you with information regarding these items and matters, but we do not bear any responsibility for them.
Before booking a tour, you must be absolutely sure that you have the required level of physical fitness and will be able to complete the chosen itinerary. If you are over 65 years old, we strongly recommend that you seek medical advice to ensure you have an acceptable level of strength and physical fitness.
The company will not allow any person under 18 years old to travel without a companion. If a person is in their teens, they will only be considered if they have a parent or guardian with them who assumes full responsibility.
The company may reject any reservation if deemed appropriate. You must accept and abide by the decisions made by our employees, agents, and leaders during the tour.
If there is any person whose health or behavior before or after embarking on the tour appears to jeopardize the comfort, safety, and happiness of the rest of the clients, that person may be excluded from the entire tour or certain parts of it. Additionally, if a traveler's health is not good, the company may make all necessary arrangements for them, but this is not mandatory for us.
All individuals traveling with our company must comply with the rules and way of life of the localities and communities they visit. Failure to comply with these rules may result in your requirements or obligations not being met.
If you have any illness, disability, undergoing medical treatment of any kind, or any other medical condition that the company needs to be aware of, you must inform us at the time of booking. Clearly state the nature of your condition and submit a request for any medication or treatment you may require during the tour. Failure to inform us about such a situation would imply that you have breached these booking conditions, which may result in your exclusion from the tour. In all such cases, no refunds of any kind will be made.
Additionally, if your tour features activities such as boat or ship travel, you must inform the company if you are unable to swim at the time of booking. You will not be prevented from joining the tour, but the details will allow the company to make arrangements to take additional safety measures for you.
The company strives to provide accurate and up-to-date airfare rates when quoted. However, all airlines reserve the right to modify them without sending any notice. Therefore, when you pay an airfare deposit, it only allows us to confirm your seat, while the fares may change at any time and thus are not guaranteed.
The airfare is confirmed when you pay the full amount of your flight reservation and receive your ticket.
Flight reservations are not transferable. The flight times given to you when you make a reservation are not secure and may change. You will know the confirmed details once your ticket has been issued.
Please carefully review your tickets and note the indicated schedules. If there are any changes or alterations to the flight, the company will inform you as soon as possible.
Just like fares, airlines may also change flight details at any time. However, this does not have a significant impact on other tours, so the overall trip usually continues as planned.
The company is not responsible for flight delays, regardless of their cause. This typically occurs due to severe weather conditions, actions of air traffic controllers, local governments, airport authorities, strikes, or mechanical breakdowns.
As a customer, you are required to accept the decisions made by the employees, agents, and leaders of the company during the trip. If there is any person whose health or behavior before or after the trip seems to endanger the comfort, safety, and happiness of the other clients, then that person may be excluded from the entire trip or certain parts of it.
If a traveler's health is not suitable, the company may make necessary arrangements for them, but this is not obligatory. The cost incurred in this regard must be borne by the customer themselves.
If a customer engages in any illegal activity, they will be excluded from the trip and the company will not be held responsible for them. Additionally, if you have a specific medical condition that may affect the enjoyment of other individuals or prevent your participation in the tour, please inform us when booking a tour.
There are no refunds for facilities or services that have not been used. As a customer, it is entirely your responsibility to have a valid passport, visa permit, and any necessary medications during the trip. We provide information regarding these items and matters, but we do not assume any responsibility for them.
The company organizes all its services, such as accommodation and transportation, on behalf of its travelers and at their expense. Therefore, in case of accidents, damages, losses, or any other interference caused by the client or for reasons beyond the company's control, The Company will not be held responsible.
The company is not liable for any medical illnesses, pregnancy, or physical impairments that may pose a risk to your health. We are also not responsible for any claims or refunds arising from the aforementioned reasons.
The company will not provide any compensation if the tour needs to be modified or canceled due to incidents that are beyond its control. Examples include war, civil unrest, riots, natural disasters, extreme weather, health risks, technical issues with transportation, and flight cancellations.
If there are any changes in the flight schedule or if the departure is delayed for any reason, the company will not assume any responsibility for it. However, efforts will be made to minimize the impact it may have on the tour. If flight delays result in late arrival at hotels, no refunds will be provided for the time missed. Airlines also do not offer compensation in this regard. However, they would still try to alleviate your inconvenience by providing accommodation or meals as deemed appropriate at that time.
If you require any special or additional services, please inform us in advance, and we will be there to assist you.
If you have any complaints about any of the services we offer or the arrangements we have made during the tour, please communicate them to the tour leader or any other representative so that the situation can be rectified. Until you inform us about the issues you are facing, we cannot resolve them. So, if there is any problem, please let us know and allow us to address it. If the problem persists, please notify us of your complaint in writing within 28 days from the completion date of the tour.
The company has been accredited by the Ministry of Tourism in Peru and authorized by the Ministry of Foreign Trade and Tourism of Peru. As such, we are required to comply with all policies and laws that have been implemented for travel agencies. Our company is registered with the number N° 259-2023 - GR/GERCETUR-SGFC and RUC 20524295106.
We operate locally and have established an office in the city of Cusco, Peru. We do not own any of the hotels, cabins, restaurants, and other facilities provided during the tour. We designate local operators and agencies in each region to provide the requested services. We have complete trust in these friendly operators and have been working with them throughout our many years of experience.
If we capture or take any images of you during the tour or tours, we have the right to use them in our advertising campaigns as long as you accept the PERSONAL DATA PROCESSING AUTHORIZATION document. This includes all types of promotional material, such as slides, video programs, brochures, and the internet. If you have provided us with any written comments, we may also use them for promotional purposes.
The company will use the personal information you provide to make all travel arrangements. Therefore, it will be necessary to share it with our suppliers and carriers to facilitate the provision of the services you have requested. However, we are committed to protecting your information and using it only for official purposes where absolutely necessary. It will be kept in the active customer database, natural persons, after our commercial relationship has ended. The customer has the right to request the removal of their data if deemed necessary, by sending an email to webmaster@incaworldperu.com.
